Set the purchase boundary
The first production order should bridge an accepted sample and dependable routine supply. Set the quantity and acceptance conditions before shipment so neither operations nor purchasing must improvise when the liquid arrives.
Identify the proposed commercial grade and the operating condition that must be demonstrated before an order is released.
Order the demonstrated scope
Link the offered product code to the sample reference, feed, activation method and separator result. Distinguish a bench-screened candidate from a plant-approved grade. The sample-request guide helps identify what remains untested.
Buy an amount that can be qualified within the documented storage period and normal site turnover; do not use a large discount as evidence of technical acceptance.
Prepare the receiving gate
Agree required labels, seals, package condition, net quantity and lot documents. Identify the storage area and transfer connection before dispatch. Record how a damaged or inconsistent package will be isolated while the supplier reviews the evidence.
Make the receiving test proportionate to the agreed controls. A visual check cannot replace a method-aware identity check or the planned application confirmation.
Define early operating review
Schedule the first machine run, baseline data, sample retention and review owner. State stop conditions and a safe recovery plan if activation or outlet quality is unacceptable. Keep product identity and process measurements together so any claim can be investigated without guessing.
Authorize routine replenishment only after the agreed review has closed outstanding issues, or document a limited conditional release with its specific restrictions.
Check the difficult case
A good jar test followed by an unattended weekend delivery does not constitute a completed first-order plan. If operators cannot verify the code, prepare the liquid or retain the required evidence, postpone connection rather than letting the package become an uncontrolled trial.
Keep unresolved limitations in the qualification record instead of presenting a proposed benefit as an established operating result.
Record the acceptance evidence
| Check | Evidence | Decision |
|---|---|---|
| Identity | Approved sample and offered code | No undocumented substitution |
| Receipt | Package, quantity and lot records | Exceptions held for review |
| Startup | Named trial window and stop rules | Replenishment follows acceptance |
Retain the sample code, lot, preparation method and measured feed with the purchasing decision. Compare subsequent deliveries with that record, using the same test conditions wherever practicable.
Request a scoped offer
Send the accepted sample record, initial consumption window, receiving restrictions, destination, package preference and trial schedule. Ask for confirmation of the offered grade and lot-document scope before issuing the order.
Send the evidence through the sample and quotation form. Review packaging and lot controls with Gongyi Xinqi Polymer Co., Ltd., and confirm grade availability and order terms before committing.
