Set the purchase boundary
Receiving inspection protects the link between the accepted sample and the liquid about to enter the plant. It should establish identity and package condition before connection, without pretending that appearance alone verifies every product property.
Identify the proposed commercial grade and the operating condition that must be demonstrated before an order is released.
Match the delivery to the order
Compare code, lot identification, net quantity and package labels with the purchase documents. Obtain the agreed lot records and current product guidance. The supplier checklist distinguishes routine release fields from application evidence.
Keep substitutions and missing fields visible. Do not approve a different code because its descriptive charge label sounds similar to the accepted grade.
Record condition without unsafe sampling
Check closures, seals, valve protection, leakage and visible abnormalities using the approved receiving procedure. Review reported transport excursions where relevant. Any sampling should follow the product SDS and site procedure with appropriate equipment.
Photograph exceptions and preserve traceability. Uncontrolled opening, mixing or transfer can destroy evidence and create a safety issue before the supplier has reviewed the concern.
Control release to use
Assign an authorized decision owner and a physical hold location for questionable packages. Retain samples according to the agreed quality plan. Record the date a released package is connected so process observations can be traced to the lot.
If a new lot gives an unexpected result, compare calibrated delivery and preparation with the retained reference before drawing a conclusion about chemistry.
Check the difficult case
A package with correct paperwork but a damaged outlet has not passed the physical receiving check. Conversely, a different shade alone does not prove a defective polymer. Use defined identity, condition and test evidence rather than either automatic acceptance or unsupported rejection.
Keep unresolved limitations in the qualification record instead of presenting a proposed benefit as an established operating result.
Record the acceptance evidence
| Check | Evidence | Decision |
|---|---|---|
| Identity | Order, label and lot agreement | No unnoticed substitution |
| Condition | Documented package inspection | Exceptions isolated |
| Release | Decision owner and connection record | Lot traceable to process |
Retain the sample code, lot, preparation method and measured feed with the purchasing decision. Compare subsequent deliveries with that record, using the same test conditions wherever practicable.
Request a scoped offer
Send the ordered code, delivery references, agreed COA fields and any condition photographs through the established technical-sales channel. Keep affected material isolated until a documented disposition is available.
Send the evidence through the sample and quotation form. Review packaging and lot controls with Gongyi Xinqi Polymer Co., Ltd., and confirm grade availability and order terms before committing.
