Set the purchase boundary
A recurring supply agreement should preserve the technical conditions that justified the first purchase. It cannot make every feed or future delivery identical, but it can define product identity, document responsibilities and the response when the approved scope changes.
Identify the proposed commercial grade and the operating condition that must be demonstrated before an order is released.
Anchor supply to an approved grade
Record the commercial code, sample reference, declared active basis and accepted preparation route. Distinguish mandatory lot controls from typical descriptive properties. The supplier checklist helps keep those categories explicit.
Require notification and review of relevant code or preparation changes. A similar commercial description should not silently replace the product that the plant qualified.
Define replenishment responsibilities
State order units, package format, net mass basis, delivery destination and agreed commercial term. Separate forecast information from firm orders. Identify which receiving restrictions and seasonal storage requirements the buyer must communicate before dispatch.
Use measured consumption to review the schedule; a changed solids load or active fraction can invalidate a fixed monthly quantity even when plant operating hours remain unchanged.
Write a usable exception process
Name contacts for documents, delivery condition and performance review. Define the records needed to investigate a concern and the handling of held material. Keep the accepted machine endpoint and the conditions requiring another trial accessible to both purchasing and operations.
Commercial remedies and legal obligations require appropriate professional review; the technical scope should supply clear evidence rather than substitute generic wording for an agreed contract.
Check the difficult case
A long-term price agreement without an agreed product basis can leave buyers comparing a different liquid each year. Conversely, a fixed product code does not remove the need to reassess a substantially changed feed or activation system; technical change control must work in both directions.
Keep unresolved limitations in the qualification record instead of presenting a proposed benefit as an established operating result.
Record the acceptance evidence
| Check | Evidence | Decision |
|---|---|---|
| Identity | Code, basis and approved method | Continuity is defined |
| Orders | Package, forecast and delivery scope | Responsibilities explicit |
| Change | Notification and review trigger | Requalification not accidental |
Retain the sample code, lot, preparation method and measured feed with the purchasing decision. Compare subsequent deliveries with that record, using the same test conditions wherever practicable.
Request a scoped offer
Send the accepted first-order record, forecast range, package and delivery requirements, document scope and technical contacts. Request confirmation of the offered supply basis before negotiating a recurring arrangement.
Send the evidence through the sample and quotation form. Review packaging and lot controls with Gongyi Xinqi Polymer Co., Ltd., and confirm grade availability and order terms before committing.
